SUMMARY OF THE November 15th MEETING
Novembre 17, 2009

We were around forty persons at this meeting plus those who couldn’t make it but that let us know their interest in such a Series.

Right at the beginning of the meeting, David Mongrain and I specified that:

·     what we were presenting now constitutes only a “draft” of what a Series could look like;

·     and that, before even thinking of investing more time and energy in such a project, we wanted to make sure that the racer community AND the sponsors would be behind such an project.

So here is what we have in mind in terms of a Street Bike Series for 2010 :

1.    For this year, the Racing Series would be integrated within TRACKFEVER activities, with the support and help of David Mongrain, racer 719 SVCup;

2.    This Series would have 6 rounds held on 3 week-ends … meaning 2 rounds per week-end. This formula would help limit the travelling expenses related to racing.

3.    Tracks to be considered for those rounds are :

a.    Mirabel … with more security adjustments for the participants

b.    St-Eustache … track that had just been considerably ameliorated in terms of pavement !!!

c.    Ste-Croix de Lotbinière (1½ hour drive from Mtl)

d.    Shannonville (4 hours drive from Mtl)

e.        Loudon au New Hampshire (4 hours drive from Mtl)

f.     Calabogie (3 hours drive from Mtl)

g.    Tremblant (1½ hour drive from Mtl)

h.    St-Félicien (6 hours drive from Mtl)

4.    Concerning classes, we could manage with 8 or even 9 different classes. We’ll make our decision accordingly to the demand.   We could also combine starts for different classes using waves.

Those classes considered are:

a.    pro Superbikes / pro 600 / open pro

b.    amateur Superbikes / amateur 600 / amateur open

c.    SVCup

d.    Novice « open » (600 combined with Superbikes)

e.    Women’s Cup

f.     Lightweight (toutes les motos en bas de 600 cc)

g.    VRRA (« vintage »)

h.    Supermotards

5.      Concerning BUDGET

a.    Cost related to racer’s licence: 125$ for the season or 50$ for one day;

b.    Registration fees for those races would be 130$ for the 1st class, 90$ for the 2nd one, 75$ for any supplementary ones;

c.    The minute the Series will be made official, a first deposit of 400$ per racer will be required in order to confirm his/her intention and seriousness in racing in the Series:

                                                   i.      if the Series should be cancelled after making this deposit, this amount would be fully reimbursed;

                                                  ii.      if the Series concretize itself, this deposit would then be deducted of races registration fees.

NB: Please take note that this money will be used to make deposits for track reservations, publicity expenses, etc …

d.    Racers interested in paying their registration fees in full before the season even started could receive in return a certain % discount (to be determined);

e.    Sponsors will be contacted within the next few weeks in order to verify their potential interest in such a Racing Series;

 6.      Concerning  PUBLICITY

a.    We plan to have somebody taking charge with filming races. Those films will be broadcast on YouTube in order to get good visibility for a minimum investment;

b.    Eventually, we would like to find a broadcaster for the Series;

c.    We will contact the radio / magazine / television medias to interest them with the Series;

d.    We will also work closely with the various internet forums dedicated to bikes and WEB magazines;

e.    TRACKFEVER will ensure a presence for promoting this Series at the Quebec and Montreal Bike Shows next February;

f.     Advertising pamphlet and official poster will be printed rapidly.

7.      Suggestions made by the participants of the Sunday’s meeting :

a.    Whenever possible, to choose racing dates outside the ones already chosen by other racing organization such as Race and SOAR in Ontario, Parts Canada Canadian Superbike;

b.    To verify insurance matters if we plan to organize races in Loudon, NH;

c.    If feasible, to collaborate with Race Ontario for licence issues;

d.    To plan a track day the day preceding racing week-ends;

e.    To give some rebate on track days for racers who bring sponsors to the Series;

f.     To adapt some rules of the Series for participants registered in the NOVICE class in order to facilitate its accessibility (for example: having to use the tire required by the Series);

g.    To create a list for those who would like to involved themselves in the organization of such a Series;

h.    To create a list of businesses or individuals interested in coaching any newbie who want to start racing;

i.     That TRACKFEVER organization specifies its needs in terms of help it needs for the realization of this Series.

The next step is now to verify if both racers and sponsors have getting involved in such a project:

We need at least 50 pre registrations.  Beyond December 14th and under this number of preregistrations, we would understand that the interest for such a Series is not enough in the community to justify all the investment needed to make it happen. It goes without saying that we also have minimum expectations related to sponsoring too.

If the number of pre registrations is sufficient, we would then ask for the 400$ deposit to be made as explained above in the BUDGET section … reimbursable if the Series is cancelled or deductible of the Series happens.

We would also rapidly submit a temporary calendar and would increase our involvement.

We think that we rounded the question for now. We wait for your answer!

The Series is now up to you !!!
